Essential Tips for Signing Agent Profiles

So you passed your exam, got your commission, maybe even completed an NSA certification course — congratulations! But now comes the part nobody warns you about: getting signing services to actually hire you.

Your profile is your storefront. Signing services receive dozens of applications, and the agents who get calls are the ones who look prepared, professional, and trustworthy. Let me walk you through exactly what your profile needs to say — and one tip at the end that will make you stand out from the crowd.

What Signing Services Are Actually Looking For

Before you write a single word on your profile, understand who is reading it. Signing service schedulers are moving fast. They’re looking for agents who will show up on time, handle the documents correctly, and not call them with basic questions at 9 PM. Your profile needs to answer their biggest concerns before they even ask.

Think of your profile as your answer to this question: “Why should I trust this person with my borrower and my package?”

The Essentials Every Profile Must Include

1. Your Credentials — All of Them, Clearly Listed

Don’t make schedulers hunt for this information. List it upfront:

  • State commission and expiration date
  • NNA Certification (or equivalent — NSA, Notary2Pro, etc.)
  • Background screening (include who conducted it and the date)
  • E&O Insurance — state the coverage amount ($25K, $100K, $1M, etc.)
  • Signing experience — number of signings completed if you have them

If you’re brand new, say so honestly — but pair it with everything else that shows you are prepared.

2. Your Coverage Area

Be specific. List your counties, not just your city. Many signing services filter by county when searching for agents. “I cover King, Pierce, and Snohomish counties” is far more useful than “Seattle area.”

Also note your willingness to travel and whether you charge additional mileage fees for extended distances.

3. Your Availability

Schedulers need agents they can count on. Let them know:

  • Days and hours you are generally available
  • Your typical response time to assignment offers (e.g., “I respond to texts within 15 minutes during business hours”)
  • Whether you take last-minute or same-day signings

Reliability is everything in this business. If you can be consistent, say so directly.

4. Your Equipment and Technology

Signing services want to know you can handle the job without hiccups. Include:

  • Laser printer (make and model if you want to go the extra mile)
  • Scanning capability — flatbed or mobile scan
  • Whether you use a fax or digital delivery for completed packages
  • Any signing platforms you are already set up on (Snapdocs, SigningOrder, Notary Gadget, etc.)

5. Loan Types You Are Comfortable With

As you gain experience, this list will grow — but even new agents can note:

  • Refinances
  • Purchase transactions
  • HELOCs
  • Reverse mortgages (if trained)
  • Cash sales

If you have completed training in a specific loan type, mention it.

6. A Brief Professional Bio

Write 3–5 sentences about yourself. Keep it professional and warm. You don’t need to share your whole life story — just enough to humanize your profile. Mention your background if it’s relevant (customer service, banking, real estate, healthcare), why you became a signing agent, and what you value most when working with borrowers.

Example:

“I am a commissioned notary public and certified signing agent serving the greater Tri-Cities area. With a background in customer service and a commitment to detail, I take pride in creating a calm, professional experience for borrowers on one of the biggest days of their lives. I am fully equipped, background-screened, and insured — and I treat every package as if my reputation depends on it, because it does.”

⭐ My #1 Tip: Add a Service Guarantee

This is the move that will separate your profile from nearly every other new agent out there.

Most profiles list credentials. Yours should make a promise.

Here’s what a simple service guarantee looks like:

My Service Guarantee: When you assign a signing to me, I commit to the following:

✔ I will confirm the appointment within [X] minutes of acceptance

✔ I will arrive on time — or notify you immediately if any delay occurs

✔ I will follow all instructions in the confirmation to the letter

✔ I will return the package within your required timeframe

✔ If I make an error, I will own it and work with you to resolve it quickly

Why does this work? Because it shows confidence, accountability, and professionalism — all at once. It tells the scheduler: this agent has thought about what I need, not just what they want.

You don’t have to use those exact words. Make it your own. But commit to something specific and mean it.

A Few Final Reminders

  • Proofread everything. Typos on a notary profile are a red flag.
  • Keep it updated. Renew your credentials before they expire and update your profile immediately.
  • Ask for reviews early. After your first successful signings, ask the signing service if they can note your performance. Positive feedback compounds quickly.
  • Be honest about your experience level. Overselling yourself leads to bad signings and burned bridges. The industry is smaller than you think.

Building a strong profile takes a little time up front, but it pays off every single time the phone rings. You’ve done the hard work of getting certified — now let your profile do the selling for you.
