In our industry, receiving loan packages just two hours prior to a signing isn’t just common—it’s practically the standard. It can feel like a high-stakes race against the clock. Effectively managing this window separates the amateurs from the preferred pros.

Why the Wait?

There could be a last-minute change to the Closing Disclosure (CD). There might be a delay in lender approval. Or a title officer could be juggling ten files at once. The “notary package” is often the final piece of a very complex puzzle. Understanding this helps us stay calm when the clock is ticking.


Tips for Navigating the Tight Turnaround

When the “Docs are Ready” email finally hits your inbox with only 120 minutes to spare, here is how to handle it like a pro:

  • The “Status Check” Communication: If you haven’t seen docs 2.5 hours out, send a polite email to the signing service or title company. Let them know your travel time so they understand your “drop-dead” print time.
  • Prep Your Workspace: Don’t wait for the file to prep your gear. Make sure your dual-tray printer is loaded with both Letter and Legal paper. Check that your pens are fresh. Ensure your notary bag is in the car.
  • The 10-Minute Rapid Review: Once the file arrives, don’t just hit “Print.” Quickly scroll through the document to check for ink color requirements. Verify any witness needs. Ensure signer names match their IDs.
  • Communicate with the Borrower: If the documents arrive so late that you’ll be 15 minutes behind, call the borrower immediately. Most people are fine with a slight delay as long as they are kept in the loop.
  • Master the “Mobile Office”: If you’re doing back-to-back signings, consider a mobile printing setup. Printing a package from your vehicle or a local hotspot can be a total game-changer.
