Here are 5 essential best practices to master every signing:
1. Confirm and Reconfirm Details
Before you leave: Call the borrower to confirm the time, location, and the type of identification they will be using. This prevents wasted trips!
Verify the Documents: Confirm you have the correct, full, and most recent set of documents from the title/escrow company.
2. Master the Package
Print and Review (The “Pre-Flight Check”): Print the documents on the correct paper sizes (Letter/Legal) and quickly review them. Find key documents like the Note, Deed of Trust, and important disclosure pages.
Know the “Where” and “How”: Know exactly where the borrowers need to sign. Decide where they need to mark. Most importantly, confirm where your notarization are required. Use sticky tabs sparingly for complex packages!
3. Gather Your Essential Toolkit
Never show up without your non-negotiable:
- Journal/Logbook: Always have it ready for notary entries.
- Two Stamps/Seals: (In case one fails!)
- Extra Ink/Toner: For your printer, just in case.
- Quality Pens: (Blue and black ink, as specified by the title company).
- A Mobile Scanner/Scanner App: For quick scan-backs after the signing.
4. Arrive Early & Set the Stage
Aim for 15 minutes early. This gives you time to find parking, set up your space, and mentally prepare.
Find an Ideal Spot: Look for a well-lit, quiet, and clutter-free area. A dining room table is an ideal location. Make sure you and the borrowers can work comfortably.
5. Keep Professionalism & Patience
Dress the Part: Your appearance reflects on the title company/lender. Dress in clean, professional business attire.
Be the Guide, Not the Expert: Remember, you can’t give legal advice. Your role is to show the documents clearly and direct the borrower to their signing spots. If they have questions about terms, direct them to their Loan Officer or Escrow Officer.
